Welcome to Teemyco! Here are 15 things you should try to become a Teemyco pro โค๏ธ 1. Inserting your location will allow your team to know the weather around you through the weather widget! Change your status to allow everyone to know how you're feeling today :) 2. Adjust your preferences & connect your calendar Connecting your calendar will allow your team to know what youโ€™re up to based on your calendar agenda. โ—Google Calendar Users, download the Google Calendar Extension to get notified about upcoming meetings. That way you will also be able to choose Teemyco as the default meeting location in Calendar Events. 3. Download Teemyco Desktop & Mobile Apps Click here for the latest Teemyco Desktop & Mobile Apps 4. Turn on notifications for Teemyco on your laptop Open the system settings โš™๏ธ on your device, go to Notifications, find Teemyco, and allow notifications for our app. Once enabled, notifications will be prompted on your computer when somebody interacts with you. Currently, Teemyco will inform you about: ๐Ÿ’ฌ received chat message ๐Ÿ“จ room invitation ๐Ÿ”’ knock on the locked room โŒ› upcoming meeting ๐Ÿ‘ received kudos hat ๐Ÿง‘โ€๐Ÿณ invite to the kitchen You can also personalize some notifications when in Teemyco. To do that, navigate to the bottom left corner to select your avatar picture and open My preferences. 5. Check out your office layout Different offices will have different rooms, some might even have multiple floors. Check out each floor, learn where you're going to be spending most of your time and read the information assigned to each room by looking out for the little "i" in each room. 6. Find your default room Default room is a room where you will spend most of your time during the day. Similar to a physical office, we all have our dedicated workspace. Usually, it's your team room or a personal room. It's where you'll end up every time you leave a meeting or start Teemyco. Once you determine which room is your default room, click on the three little dots on the top right of the room and set it as your default room. 7. Pin a link to the room wall Every room has a Room Wall where you can pin links to documents for your convenience. Whether it's your team's Stand Up notes or favorite playlist, a room wall is a good place to keep it, so everyone can easily reach it. Find your default room and pin a link to a useful document or a cute gif! 8. Invite a colleague for a chat When you want to invite a colleague into a room with you, hover over their avatar and click on one of the invitation icons. Clicking on the icon of the person with a โž• will immediately send a notification to your colleague inviting them into a room youโ€™re in. Clicking on the icon of the person with a message box will allow you to put in an explanation text before sending out a notification to your colleague. Don't forget to unmute yourself when the call starts! :) 9. Try locking your room Every meeting room can be locked. Whether it's a 1on1 or a meeting with a client, sometimes you just want more privacy! In case somebody tries to enter, you'll hear a knocking sound and will be able to decide whether to let them in or not :). 10. Check out Just Working Mode Clicking on the headset icon will allow you to sit in a room with your colleagues without being on an active call. Once youโ€™re ready to join them in a conversation, click on the headset icon again. In case your colleagues are in Just Working Mode themselves, you can invite them to a conversation by hovering over their avatar and choosing to wave at them. 11. Star your favorite colleagues Hit the people icon on the left side of your menu and type in the name of the colleague you work with the most. Hover over their name and click on the star next to their name to easily find them any time of the day. 12. Say thank you to a colleague by sending them a kudos hat Did someone recently help you solve a problem? Did they bring the best vibe to your meeting? Or maybe made a sale? Hover over their avatar and send them a kudos hat! 13. Explore the guest experience Teemyco office can be used for external meetings. Copy the link to the room and paste it into the destination of the Google or Outlook event. After clicking on the link, your guest won't have to download anything, they'll just type in their name and give access to their mic and camera. Once they enter the office, you'll hear a knocking sound and will let them in. Remember - you need to be in the room to let the guest in! :) 14. Play music There are multiple ways you can listen to music with your colleagues. You can play it through your speakers and just leave the mic on or you can share video to your favorite Youtube video! Tip: Find a video of a long soundtrack for less changes! For that go to the room of your choice, start a call, click on the three little dots for more options and hit "Share video". 15. We're a company that is constantly developing and releasing new features, which are highly impacted by the voice of our users. Step 3 - House Rules' examples ๐Ÿ—๏ธ

This list shall serve as inspiration for your own house rules. Why? Research shows that teams who clarify joint behavioral principles perform better. And while a physical office gives you cues on how to behave, moving into an online office can be confusing. Happy co-working! Our Work Context (tools - what to use how) We use Teemyco for internal oral communication (Slack for writing & files; Google Meet for external calls; emails for external written communication) We all use an avatar picture so we easily find each other in the virtual office โžก Rooms & Behaviors Room layout: We may all add rooms & amend all rooms except for the ones below. Never-used rooms can be erased. Rooms that may not be changed or erased without checking with the team: Lounge, Focus Area, Open Workspace, Dev Room, Team Room, Founders Corner, Gone Fishing. The person adding a new room explains the purpose & behavior in the room description field For important or sensitive discussions we lock the virtual room (signaling do not disturb) โ€œCrashingโ€ into social areas such as the Kitchen or Afterwork bar is always allowed Being in the Kitchen does not mean one is lazy, it means the person is open for a quick break. We encourage social breaks. For Thursday Lunch roulettes we meet up in the Kitchen and split into smaller groups & rooms. We encourage participation in Thursday lunch roulette but it isn't mandatory. All other rooms may change names temporary (by anyone!) as long as the description field explains the expected behavior or purpose (nonsense welcome!). We synch group remote Gym or Meditation sessions on Slack beforehand & pre-schedule them. We do not have so many rooms that one must scroll in the main view, as orientation of who is who then becomes too hard. Anyone may pin a link into a room. Pins that shall not be removed are marked with "keep!" in the link title. E.g. our House rules and/or the Games. We encourage nonsense rooms & experimentation. ๐Ÿค Meetings Internal Meetings: We all use individual cameras in meetings; also if two of us are co-located External Meetings: We only share room links of rooms specifically marked as external meeting room. If in use Zoom / Hangout we use the phone booth For Daily Standups we use the Dev Room, Customer Room & Founders Corner. The weekly team meeting is mandatory & happens in the Team Room.

Step 4 - Coworking principles to begin with ๐Ÿ‘‘

The first time you establish virtual office "house rules", huh? Research confirms: investing 30 minutes in aligning on behavioral principles, preferably together as a team, or at least as a leadership team, will pay off! The one non-negotiable rule for any online office usage is everyone must be online while working, as the value of a virtual office is dependent on your co-workers! ๐Ÿฅฐ Being alone in an online office makes about as much sense as being alone in a physical office. To avoid people accidentally commuting to the old place, make sure to update routine meeting invite links. Some teams have found morning calendar login reminders useful to get the habit going the first 2-3 weeks. Are there recommended default rules if you are a new online office user? Yes! When we work, we are all online in Teemyco. When we don't work, we are offline For the next 2 weeks, we host all our internal meetings in Teemyco If something takes more than 3 minutes to write in the chat, we speak instead In our company, we encourage social talks in the kitchen Social lunches (also if 1-2-1) are encouraged If we have important meetings we lock the room It is OK to invite people who are not in a meeting or do-not-disturb-room into rooms When in an external call, we signal that by placing ourselves in the phone booth When we feel like taking a social break we use the coffee button so that others are notified and can choose if it's a good time to join Got it. What what can we do more to make our online office usage work smoothly? โœ”๏ธ Why are we using an online office? Is there something we miss as we don't meet physically? โœ”๏ธ Who is supposed to use the new online office? โœ”๏ธ When are we expected to be online in the online office? โœ”๏ธ Which different means of communication do we use for what purpose & when? โœ”๏ธ What is our physical location work policy? โœ”๏ธ Who is allowed to change & add rooms? โœ”๏ธ What do we do by the end of the day? โœ”๏ธ Which rooms are not allowed to be erased? โœ”๏ธ Are expected behaviors in the different rooms clear? (If not, use the room description field to clarify) โœ”๏ธ When is it OK to invite someone for a coffee break or game break? โœ”๏ธ Which rooms are OK to share the links to the room of and with whom may they be shared? โœ”๏ธ Which rooms are from now on used for which routine meetings? (link in upper right room corner) โœ”๏ธ Who of us adds our virtual office rooms into our calendars so we can book meeting rooms? โœ”๏ธ If we want to add more people to our space - who decides on whom to add & who does it? โœ”๏ธ Is it ok to create rooms called Batcave, McDonald's, Spaceship.. what are the restrictions? gabriele@teemyco.com is happy to help your team with more tailor-made advice any time!
